Paper gift cards

Sale of paper gift cards

Function for the sale of paper gift cards. Gift cards are sold at the cash register in the same way as ordinary items.

1. Select the function for selling gift cards.

2. Enter the value of the card.

When the receipt is finished, three different receipts will be printed: An ordinary receipt, a receipt (which is a valid gift card) for each gift card and a receipt for gift card(s) sold (which will be retained by the store).

Payment using paper gift card(s)

Function to pay using paper gift card(s). You can register payments using gift cards manually or by scanning the barcode.

Manual registration of gift cards

1. Select Gift card and the dialogue box for entering gift cards is displayed.

2. Enter the amount, store number, cash register number and gift card number.

3. Press OK.  

4. All fields, including the amount, are validated online.

Scan the barcode on the gift card in the payments view.

Plastic gift cards

Sale/Issue of pre-numbered plastic gift card(s)

Function for selling pre-numbered gift cards (plastic cards). Gift cards are sold at the cash register in the same way as ordinary items.

1. Select the function for selling gift cards.

2. A dialogue box for selling gift cards opens.

3. Register the card, which you can do as follows:

   1. Swipe the card’s magnetic strip

   2. Scan the barcode

   3. Enter the gift card number

4. Enter the amount and press OK.

5. A dialogue box is displayed showing the balance. Close the dialogue box by pressing OK or Clear.  

6. Complete the sale as normal.

Recharge plastic gift cards

Function to recharge gift cards.

1. Select the recharge gift card function.

2. Swipe the card in the magnetic strip, enter or scan the gift card number.

3. Enter the amount to add and press OK.

4. A dialogue box is displayed showing the new balance.

Gift card balance

Function for checking the balance of a gift card.

1. Select the gift card balance function.

2. Swipe the card in the magnetic strip, enter or scan the gift card number, then press OK.

3. A dialogue box showing the gift card balance and expiry date is displayed.

Pay using pre-numbered plastic gift cards

Gift cards may be used as payment for all or part of the purchase price.

1. Select the gift card function in the payments view.

2. Swipe the card in the magnetic strip, enter or scan the gift card number, then press OK.

3. If the value of the gift card is greater than the amount to pay, the sale is completed, and the sales summary is displayed.

4. If the value of the gift card is less than the amount to pay, a message indicating this appears on the left-hand side of the payments view. Pay the remaining amount using the desired payment method.

The configuration can be set so that the barcode is automatically recognized as an external gift card.
The gift card can then be scanned directly in the payments view without selecting the function first.

Sale of digital gift cards

1. Select the function for the sale of Digital gift cards. The “Gift card” dialogue box opens.

2. Enter the value and mobile phone number.

3. The gift card will be registered in the sales view.

4. Complete the sale as normal.

Payment using phone number search

If the phone number is registered when a gift card is issued, it is possible to search for gift cards in the payments view using the phone number.

1. Select Search for gift card. A dialogue box opens for you to enter the phone number.

2. Enter the mobile phone number.

3. A dialogue box containing a list of the gift cards associated with the mobile number you entered is displayed. Select the gift card you want to use, and press Enter.

Electronic gift cards

Sale of electronic gift cards

You can sell electronic gift cards via the card terminal.

1. Select Sale of electronic gift cards.

2. Enter the amount for the electronic gift card and press OK.

3. A message will be displayed in the payments view and the card terminal: Waiting for card.

4. Swipe the electronic gift card in the card terminal.

5. The card terminal will show: Deposit + amount and the customer must select OK or INCORRECT.

When the customer has clicked OK, the cash register will return to the sales view. You can now either register more items or complete the sale as normal.

Recharge electronic gift cards when returning items

Function for recharging electronic gift cards via the card terminal when returning items.

1. Register a return for the item, then go to the payments view.

2. Select the Gift card payment type (using the function for electronic gift cards).

3. A message will be displayed, and you must confirm that the gift card is to be credited with the return amount. Tap Yes to confirm.

4. A message will be displayed in the card terminal and on the screen in the card info window to inform you that the gift card must be inserted in the card terminal.

5. The gift card recharge is approved in the card terminal, the receipt is printed and given to the customer.

This function relies on integration with ERP.

Gift card from Retain24

Retain24 is an electronic gift card. The cash register contains functions to top up gift cards, check the balance and status and pay using gift cards. Some functions are available in the sales view, other functions are available in the payments view.

The thing that all the functionalities have in common is that they open a dialogue to register card numbers and, if applicable, codes (the code dialogue is parameter-controlled and enabled/disabled using POS Manager and only enabled for those stores for which you wish to use gift cards with PIN codes).

Registration of card number and code

1. Click Gift cards either in the payments view or in the sales view. A menu of the available gift card options will open. When you have selected an option a dialogue box will open for registration of the card number.

2. Enter the card number or scan the gift card. Then click OK.

3. A new dialogue box will open for registering the code. This is necessary only for payments using gift cards. When using the other functions, you can click OK to continue.

Sale of gift cards

Retain24 is an electronic gift card. Gift cards are sold using the sales view.

1. Click Gift cards. Select Sell gift cards.

2. Enter the card number or scan the gift card. Then click OK. A message will be displayed showing that the card is ready for top-up.

3. Enter any code or click OK to continue.

4. A dialogue box will open for registering the desired amount. Click OK. Top-ups are made against the Retain24 server. If the top-up is successful, it will be registered as a product row with gift card and amount in the sales view.

5. You can then go to the payments view and complete the sale as normal either using card or cash.

The same method is used to top up an existing gift card.  

Verify history

In the sales view you can verify all transactions against the gift card balance. Here you will be shown an overview of all transactions for the gift card.

1. Click Gift cards. Select History.

2. Enter the card number or scan the gift card. Click OK.

3. Enter any code or click OK to continue.

Here you will be shown an overview of all transactions for the card. If a gift card is topped up several times, one page will be shown for each top-up.

Pay with gift card

You can pay by Retain24 gift card in the payments view.

1. Click on the Retain24 menu. Click Pay by gift card.

2. Enter the card number or scan the gift card. Click OK.

3. Enter the code if applicable.

4. The cash register will retrieve the amount from the payments view and the status from Retain24. A message will be shown proposing an amount and showing the balance of the gift card. You can choose whether to pay all or parts of the amount up to the remaining value of the card.

5. Click OK. The amount specified will be charged to the card and a gift card payments row will be shown in the payments view.  

Validation of gift card

It is easy to check the balance of the gift card.

1. Click Gift cards. Click Validate gift card.

2. Enter the card number or scan the gift card. Click OK.

3. Enter any code or click OK to continue.

You will be shown an image containing information about the card balance.

Verify status

In the sales view you can verify the status of the gift card. This function shows whether it is possible to top up the card and whether the card has been enabled or not.

1. Click Gift cards. Click Verify status.

2. Enter the card number or scan the gift card. Then click OK.

3. Enter any code or click OK to continue.

You will be shown an image containing the status of the card.

Cancel payment by gift card

You can cancel an initiated gift card payment by clicking Cancel gift card purchase. The cash register will then retrieve the amount from the previously registered gift card's payment row in the payments view.

1. Click Gift cards. Click Cancel gift card purchase.

2. Enter the card number or scan the gift card. Then click OK.

3. Enter any code or click OK to continue.

4. A dialogue box will open showing the amount, confirm the amount by clicking OK and the amount will finally be "charged" to Retain 24.

5. If it all goes well, the gift card's payment row will be removed, and the customer's card will be topped up again by the relevant amount.

Only for active receipts

It is only possible to cancel gift card purchases if the receipt has not been completed.
